Vacancy at Conservation International - Sumatera Operations Coordinator
Conservation International, an international non-governmental organization, is seeking to fill the position of Sumatera Operations Coordinator to be based in Medan.

Responsibilities:
  • Financial Operations in the field:
    • Provide supports to field operations officer on financial issues. 
    • Responsible for cash management and bank matters.
    • Make sure that monthly financial reports are received and submitted on a timely basis; 
    • Conduct auditing prior submission the report; ensure all expenditure  transaction for accuracy, adequate supporting documentation, proper authorization,
    • Ensure compliance with internal policies and funder requirements, 
    • Proper recording of  project and account numbers and availability of budgeted funds 
  • Finance System and other CI’s system
    • Implement & maintain accounting system, HR and Admin system as well as other CI’s policy and procedures ; 
    • Serve as a point person to ensure compliance with operations policies and procedures (finance, human resources, admin/ logistic & procurement).
  • Human Resources: 
    • Work closely with HR Jakarta to carry out recruitment process for field based position, prepare SPK contract and consultant;
    • Records staff leave and  send the updated record on a monthly basis including the supporting leave form; 
    • Process  staff medical reimbursement and inpatient and ensure proper documentations are provided; 
    • Supervise operations team including handle HR issues in the field in close coordination with HR Manager 
    • Handle outsource staff including the service contract with outsource company.
  •  Admin & Logistic 
    • Ensure that travel arrangements are implemented according to CI’s rules and regulation (i.e. complete TA form is attached, proper hotel booking arrangements, procurements procedures is adhered to); 
    • Ensure office equipment list is maintained and updated and conduct  regular physical check in;
    • Ensure vehicles are maintained (i.e. vehicle log, regular service, ), conduct regular physical check and work closely with  Jakarta Admin to update the inventory list
    • Ensure that all events or meeting administration be handled by person in charge and follow CI regulation properly
  • Support and Assistant
    • Assist Senior Sumatra Program Manager for financial management and reporting and -smooth operation of Sumatra program
    • Supervise and provide coaching to field finance officer, field admin & logistic officer and IT and Office Support and provide regular support to operations team in site’s office (TapSel and Madina).
Qualifications:
Required:
  • College degree, majoring in accounting with at least 3 years related working experiences
  • Experienced working with computerized accounting system (Agresso preferred) 
  • Good understanding on complex accounting/financial issues, spreadsheet and simple financial system 
  • Experience with PC skills in Microsoft Office and ability to communicate electronically 
  • Excellent administrative skills.  Ability to work well with people 
  • Good verbal and written communication skills in English.
  • Display good leadership skills
Preferred
  • Experience working with USAID project.
