Non-Personnel Position for Administrative Work (Program Assistant)

The American Indonesian Exchange Foundation (AMINEF) is a bi-national commission which provides scholarships to both Indonesian and American citizens under the aegis of the Fulbright scholarship program to study, teach, or conduct research.

AMINEF - Indonesian Fulbright program is looking for a Program Assistant under a service contract agreement.  The incumbent provide administrative support for the Senior Program Officer, Program Officer and Program Assistants in maintaining Indonesian Fulbright and other program administrations, including but not limited to: 
  • Makes copies of all documents generated by the program for the administrative and processing needs including application review process, interview selection process, departure preparation, and others.
  • Prepares and sends materials and packages of applications, brochures and other documents in the event of application/interview selections and outreach programs to the interview panelists, the universities and the partnering institutions such as ministries and the Governments. 
  • Collects and checks incoming application forms and supporting document completeness until the closing date of the submission period and sorts them out based on categories applied. 
  • Completes information spreadsheet on incoming applications information and updates and copies the interview rosters to the master files. 
  • Prepares and sends letter or e-mail of appreciation (Thank You letter) to speakers, grantees and guests of events and other correspondence emails.  
  • Assists the program assistants in collecting supporting document completion, testing, placement process, and departure from the grantees.  
  • Assists the Associate Program Officers in managing the admission tests (TOEFL, GRE/GMAT) registration and logistics arrangement for the grantees.  
  • Prepares and collects the information from applicants/candidates/grantees for the purpose of the travel arrangement, logistics and administrative process in activities related to program such as selections, pre-departure orientation, U.S. visa interview, U.S. departure and others. 
  • Assists the program assistants in collecting supporting document and application completion for US visa interview from the grantees. 
  • Works closely with the supervisors to review the logistics for events and handles responsibilities for onsite setup, operation and disassembly. 
  • Does the document filing works in accordance to the document filing system applied by the Indonesian Program. 
  • Assumes certain responsibilities as the program assistance as required. 
Following are the qualifications required for this position:
  • Minimum D3 or S1 graduate 
  • Good oral and writing English skills
  • Computer literate
  • More than 1 year work experience in administrative work
  • Organizing and managing skills
  • Be detail oriented and flexible to all tasks given related with the program
  • Team work character
