Working in 30+ countries globally, Conservation International (CI) Foundation is a non-profit organization committed to empowering societies to responsibly and sustainably care for nature for the good of humanity. We are constantly growing and expanding into areas new and old. We are currently looking to fill the following position for our office in Jakarta: Human Resources Coordinator (HRC)

The HR Coordinator will support the HR Manager and all other staff in their effort to comply with CI’s human resources policies and procedures and work together to achieve the organization goals. The roles and responsibilities cover the following areas; (i) management of HRIS (Agresso, CI’s People & HR Network); (ii) assist recruitment process; (iii) prepare monthly payroll including BPJS, (iv) contracts management for all employees, (v) employee benefit, etc. The incumbent is expected to work in close collaboration with programme team and operations staff in every field site to provide HR/ day to day support and information exchange.

Key Responsibilities:

Human Resources Information System (HRIS);
  • Agresso and HR Network; maintain good record to ensure staff data is updated on regular basis according to CI’s standard/requirements. This include upload supporting documents to Agresso system.
  • CI’s People (Performance Appraisal System); ensure that Goals are key in into CI’s
    People and assist Staff to response any inquiries. This include prepare montlhy headcount report.
  • Personnel File; ensure that personnel file (PF) is maintain appropriately and keep confidentiality,
Recruitment:
  • Process the new hiring request received from user/hiring manager and ensures budget codes are provided and escalate for higher approval; This include prepare job advertisement and job placement;
  • Coordinate interview, participate in the interview panels and summarize interview feedback;
  • Prepare salary proposal to obtain approval from hiring manager prior issuance of an offer letter;
  • Prepare the recruitment tracker and share it to relevant hiring manager on a weekly basis.
Staff Benefit;
  • Health Benefit; (i) ensure that staff and the dependents are registered into commercial insurance provided by CI and BPJS. (ii) keeping good record including the claim balance;
  • Leave Benefit; (i) maintain and keeping accurate Manual Leave Record and tracking system of staff annual leave, (ii) reconcile leave balance between
    Agresso Report and Manual Leave Record to reach agreed balance.
     
Payroll;
  • Prepare payroll instruction to be submitted to Payroll Consultant according to the timeline. This include compile overtime report submitted by field and verify;
  • Ensure completion of staff Timesheet to support the salary payment.
Staff
  • Assist HR Manager to carry out NEO (New Employee Orientation), elaboration of HR policies and procedures;
  • Assist in socialization of existing HR policies and procedures which includes Company Regulation;
  • Assist HRM in the implementation of performance management according to CI’s policies and timeline. CI-People.
Qualifications Required
  • University Degree in accounting/finance and/or managerial with min. of 3 years’ experience in related field;
  • Strong organizational skills including the ability to plan prioritize and ensure implementation of work to required standards.
  • Has a strong and integrated personality, accountability, good interpersonal relationship to work in a team
  • Strong computer skills including MS Office, databases, file management and familiar with HRIS
  • Ability to communicate fluently in both native language and English (written and oral).
  • Great attention to detail.
Preferably:
  • High integrity and the ability to exercise good judgment;
  • Conversant and have good track records in the human resources issues, systems and practices;
  • Familiarity in dealing with staff employment contracts especially in nature of NGO.
