Database Administrator & Analyst, As part of the values of Greenpeace we do not accept money from governments, corporations or political parties. Because of this, the Fundraising Department aims to ensure a cost effective, ethical and sustainable fundraising solely from individuals in order to meet the needs of Greenpeace Southeast Asia.

The fundraising department has a core responsibility to maximize income from these individuals by inspiring and engaging them and building effective, committed relationships.

The database and analysis function of the fundraising department exists to provide all reporting, analysis and data management that not only allows our fundraising work to function, but also provides the tools and insights to develop the work and improve our profitability further. Quite simply, without accurate, intelligent and insightful data analysis and support fundraising could not operate effectively.

The Indonesia Database Administrator and Analyst position is a new post that will support the fast growing Indonesia office with its data needs. The post is managed by the Regional Database Administrator and Analyst but must be able to operate on its own initiative in order to support the Indonesian Fundraising team and their many needs.

Furthermore, as Greenpeace Southeast Asia continues to grow, analytical support to our work regionally will also grow. This post will have the opportunity to carry out regional reporting and analysis under the supervision of the Regional Database Administrator and Analyst when appropriate and must be prepared to travel across the region on occasion to support this work.

Greenpeace Southeast Asia holds the personal and financial details of all supporters on a custom built Greenpeace database called “Friends”. We will be migrating this system to a special fundraising / CRM package during 2012.

KEY DUTIES & RESPONSIBILITIES
Data processing:
  • To facilitate the effective import/export of data between fundraising database and external systems/agencies, including:
  • Assist the Direct Dialogue team with all aspects of the weekly/monthly report, as and when required, to accurately calculate bonus/incentive for all direct dialogue staff, to manage manpower including all kind of absent, leave and late
  • To create and manage any database imports and exports required for the successful management, recording and reporting of fundraising campaigns 
  • To manage all data processes related to working with our external telemarketing agency
  • Assist the Supporter Care team with all aspects of the monthly debit, as and when required, to deliver debit files on time, to be able to conduct monthly debit, to fix any problems that may arise including reversing incorrect debits and resolving problems with online processing applications
  • Provide training and helpdesk to Direct Dialogue and Supporter Care team to improve the data processing and to document such procedures as requested
Information providing:
  • To provide information, reporting and analysis derived from the database to Fundraising Director,
  • Deputy Fundraising Director, Direct Dialogue team, Supporter Care team and other related staff
in order to enable them to perform their various duties in a timely and efficient manner. This includes:
  • Liaison with fundraising staffs to determine data selection requirements for appeals and other related projects such as newsletters, tax receipts and mailings
  • Building, testing and implementing standard reporting and analysis tools which users can run on daily/weekly/monthly/yearly basis or at their discretion
  • Building, testing and running ad-hoc reporting and analysis tools to provide data and reports as requested
  • Developing such tools by using MS Access, MS Excel or other application to manipulate data/reports where tools in fundraising database are insufficient
  • Writing programming in SQL and other languages in order to produce required reports and analysis
Database maintaining:
  • To ensure integrity of all data in fundraising database, including:
  • Controlling codes and parameters of the database
  • Building, testing and running ad-hoc tools to maintain integrity of all data
  • Archiving of redundant data
  • Ensure database is backup appropriately
  • Trouble shooting and checking security flaws to maintain integrity of all data

Database analysis:
To analyze and provide feedback to Fundraising team and other stakeholders on the success of fundraising and mass mobilization campaigns, including our welcome and retention programs for supporters. Conduct regular analysis of data to ensure effective usage of data, hence increasing ROI on marketing spend.

Database integration:
To ensure effective integration between fundraising database and other Greenpeace databases, including:
  • Greenpeace websites
  • Finance systems
  • Mass-mailing systems
Planning:
  • To participate in the planning processes as part of the Fundraising team, including:
  • Providing any information, which will help key stakeholders in their planning and budgeting processes
  • Developing and managing the database strategies and plans required to facilitate stakeholders and maintaining effective workflow of the fundraising team
Successful Transition to New Database:
  • To provide internal project management for the transition to a new database and provide full assistance to the team doing the migration
General duties:
  • From time to time in order to meet organizational and fundraising priorities you will be required to perform other duties as directed by the Line manager.

SELECTION CRITERIA

Essential qualities and skills:
• Commitment to the ideals of Greenpeace.
• Bachelor degree with at least 2 years experience in database management and analysis of high volume and complex data sets
• High Level of experience of a database query package.
• Good written and oral communication skills (in English and Bahasa).
• Advanced level of skills Word or equivalent Open Office software
• Advanced level of skills with MS Excel or Open Office spreadsheets
• Advanced level of skills with MS Access (queries, macros, VBA)
• The ability to use SQL to query SQL databases directly
• A desire to work with and understand the various needs of a fundraising team who need data insights in order to operate effectively

Desirable qualities and skills:
• Understanding of supporter/loyalty programs.
• Experience in an NGO or not for profit sector.
• Experience with CRM’s.
• Experience in data mining / analysis programs.
