Zoological Society of London Job Vacancy: Grants Contract Manager, Bogor - West Java

The Zoological Society of London is an international wildlife conservation organization with a focus on science-based and pragmatic solutions. ZSL has been active in Indonesia for about 10 years, with a particular focus on the overlap between industrial development and biodiversity conservation. ZSL Indonesia is based in Bogor, West Java, with existing field projects in Jambi and South Sumatera.

ZSL Indonesia is a highly diverse programme with projects involving climate change, public-private-people partnerships, sustainable landscape management, in addition to species conservation (namely the Sumatran tiger), protected area management, and combatting wildlife crime with funding from various donors.

ZSL Indonesia is seeking a Grants Contracts Manager who will be responsible for the administration and management of grants, contracts, policies and procedures to ensure that all contracts are in compliance with donors’ requirements, with terms and condition below:

Duration of Contract : 12 weeks (under consultancy basis)
Work Area : Bogor
Reporting to : Country Director

Scope of Work

The Consultant is required to:

  • Assist in the review of contract compliance, ensuring contract financial and reporting terms are being tracked and met by the team, working with senior managers to implement best practice and learning across the portfolio of funded programmes and in compliance with ZSL policies and practice.
  • Help identify quality management systems based on existing business process
  • Ensure coherence and consistency of reporting, information management, budgeting and other key business systems and processes such as travel security and procurement
  • Support, advise and train project delivery teams with respect to HQ policies and procedures, security management (prevention and management), procurement, grant management, financial accountability, donor requirements, compliance and best practice.
  • Preparation of and revision of realistic budget management and assist in monitoring expenditure in line with the budget, donor guidelines and financial regulations.
  • Manage subcontract and consultancy agreements with third party suppliers to meet the stipulated terms and conditions of each grant or delivery contract and ensure contractual compliance throughout implementation of the assignment.
Deliverables/Final Products Expected

  • Contract financial tracking report
  • Quality Management System review
  • Training delivery report to program staff (related donor requirement, financial accountability, grant management etc)

Recruitment Qualifications

  • Master’s degree in business administration, Finance, Accounting, or related field or the equivalent combination of education and experience
  • Minimum of 5-7 years’ work experience in grants and contracts administration through DFID, UNDP, USAID and other types of Donor.
  • Advanced understanding of donor regulation (DFID, UNDP, USAID etc)
  • Strong analytical skills to successfully perform financial reviews
  • Excellent communication skills (verbal and written)
  • Experience in budget preparation, procurement, performance auditing, and dispute resolution.
  • Excellent organizational skills, ability to work independently and assess priorities in a variety of activities with attention to detail.
  • Preferable expatriate with Indonesian residential
