Organisational Background:
ECPAT International is a global network of civil society organisations (103 member groups in 93 countries) working together to end the sexual exploitation of children. It seeks to ensure that children everywhere enjoy their fundamental rights free and secure from all forms of commercial sexual exploitation. Established in 1991, ECPAT International consists of Member Groups, Board of Trustees and the International Secretariat. The Secretariat, based in Bangkok, Thailand, is the global administrative and coordinating unit of the network.

Overall Purpose of the Position:

To provide administrative, secretarial, logistical and other operational support to the ECPAT International Secretariat, including for consultants, regional offices, management and programme units.

Primary Tasks:

Management and logistical support:

  • Travel arrangements for management, staff and others for ECPAT related travel (this includes flights, accommodation, visa, cash advances), liaise with travel agents, hotels, consulates and stay informed on latest developments. Inform travelers on EI travel procedures, maintain EI travel database and follow up with travelers. Provide supervisor with recommendations on policies and procedures.
  • Support management in preparing travel and meetings, including travel documentation, expense sheets and logistical background information. Liaise with finance team for relevant financial/ payment information.
  • Arrange meeting venues and related arrangements for and during meetings and events organized in Thailand. Support in arrangements outside Thailand as required, including administrative instructions and support to organizers. Liaise with finance team for relevant financial/ payment information.
  • Prepare procurement documentation for all purchased services.

Office management:

  • Incoming/ outgoing communications
  • Arrange office supplies and maintenance of ECPAT office and premises
  • Secondary petty cash holder
  • Other management support as requested
Human Resources:

  • Register and document staff (included interns) leave requests and records
  • Support in administrative handling of visa and work permit applications
  • Other HR related tasks 
Qualifications:

  • Thai national
  • Fluency in spoken and written English and Thai language (knowledge of French or Spanish a plus)
  • Bachelor degree or equivalent training in a relevant field
  • Three years work experience in a similar position
  • Demonstrated experience in international travel arrangements
  • Good computer skills, including strong knowledge of Microsoft Office applications (MS Word, Excel, PowerPoint)

  • Ability to collect and analyze data and summarize information intended for different audiences
