Grants & Contract Admin Officer (Code: GCA_O)

Konservasi Indonesia is hiring Grants & Contract Admin Officer to support Grants and Contract team in pre-external grant or contract disbursement stage, create contract grant to the system and support day-to-day administration. Working within a department, division or program, s/he supports administering grant and contract transactions in compliance with Konservasi Indonesia’s financial and donor reporting policies and requirements.

This position reports to Grant, Contract and Admin Coordinator. Duties are performed under direct supervision.

  • Support Grants and Contract Team in Pre- External grant/contract disbursement stage:
    • Reviews legal status/application documents of selected proposal/application.
    • Completion of documents related to Security Screening process and Conflict of Interest (COI) if applicable.
  • Creating Business World (BW) and Contract Grant (CG) records including create new VMF/Contract ID for each grant and contract that have been pre-approved by authorized program personnel and ensuring that all requirements and supporting document are uploaded to BW for further review.
  • The above-mentioned process including drafting the grant/contract agreement.
  • Maintain all grants and contract files both soft and hard copies.
  • Support in reviewing the supporting documents of Grant Financial Report and the Consultant’s Travel Expenses Report if applicable.
  • Preparing the Request Grant/Consultant Payment (RGP/RCP) Form and its supporting documents.
  • Support Grant, Contract and Admin Coordinator to prepare close-out letter for the completed/finished grants/contracts.
  • Support day to day task of Grant, Contract and Admin Coordinator.
  • Conduct field visit related to monitoring Grant financial/administration aspects in the absence of the Grant, Contract and Admin Coordinator.
  • Assisting in any approval requests related to Grant/Contract Assignment and Disbursement in the absence of Grant, Contract and Admin Coordinator.
  • Assisting in providing Cash Request for Contract/Grant Disbursement in monthly basis in the absence of Grant, Contract and Admin Coordinator.
  • College degree in Accounting or Management with at least 1 year of experience in relevant field
  • Knowledge and experience in Operation of basic computer software, i.e. Microsoft Word and Excel
  • Knowledge and experience in filling data and information
  • Experience in cash management and financial report preparation
  • Good team player
  • Fluency in English (written) and Bahasa Indonesia (verbal and written).
  • Experience in working with financial system such as Business World or Agresso
  • Experience in dealing with vendor and procurement process
  • Good knowledge of Indonesian Tax Regulation
  • Prior USAID or NGO experience will be an added value.
