ECPAT International
(ECPAT) is a global network of civil society organisations working collectively for the elimination of all forms of child sexual exploitation. It seeks to encourage the world community to ensure that children everywhere enjoy their fundamental rights free and secure from all forms of sexual exploitation. The ECPAT network currently consists of 122 member organisations in 104 countries. The ECPAT Secretariat coordinates the global work of ECPAT and has a central office in Bangkok, Thailand. The ECPAT Secretariat organization consists currently of about 30 positions and has an annual budget of about USD 4.5M. Further growth of the organization is anticipated.

Position Background
The Grants Reporting Manager is a new full-time position in the organization. The establishment of this dedicated position is a reflection of ECPAT’s funding growth, its growing diversity in funders, and increased collaboration with partner organization through sub-grant agreements.

Job Purpose
The Grants Reporting Manager is responsible for the coordination of the overall grant reporting and for preparation of financial grant reports. The grants reporting manager is also responsible for the management of sub-grant processes, including partner assessment, monitoring and verification of reports.

Tasks And Responsibilities
  • Maintain and assure accuracy and integrity of the organizational grants register and coordinate and ensure timely and complete donor reports, in accordance with donor standards
  • Provide guidance to grant holders in relation to donor reporting
  • Assess grant agreements and inform relevant team members on any specific compliance conditions in relation to project implementation
  • Work closely with the Finance Officer in setting up an appropriate accounting structure for each grant and support the project team in expenditure allocation decisions
  • Prepare the financial grant reports, in close collaboration with the Grant holders and the Finance Officer
  • Support the Finance Officer in coordination of project audits
  • Support grant holders in interim financial update and planning processes
  • Manage the sub-granting process, including coordination of partner assessment, drafting agreements, monitoring and communication with grantees, and prepare internal feedback on cooperation
  • Support responsible team members in drafting grant proposal budgets
  • Make recommendations to management on efficiency and effectiveness of internal grant management procedures and processes
  • The Grants Reporting Manager is a member of each project team, supporting with specific advice on grant conditions, budget, M&E and compliance.
Qualifications and competencies
  • At least 5 years of experience in financial (donor) management in international non-profit sector
  • A degree in accounting, business administration, or a similar field
  • Demonstrated experience with a wide variety of international donors
  • Demonstrated commitment to ECPAT’s mission and values;
  • Demonstrated experience with M&E
  • Good verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Fluency in English language; knowledge of Spanish and French is a strong plus
  • As a child-focused organisation, ECPAT has a strong commitment to child safeguarding and rigorous procedures. The successful candidate will be required to provide three referees and a criminal record from country of residence and country of origin (as applicable).
  • Duty station: this position is planned to be home based; an extensive induction period in the Bangkok office is planned, with further regular missions to Bangkok for planning and coordination sessions. Contractual arrangement and conditions may depend on local jurisdiction of the home-base.
