Work Summary
Under supervision of Executive Director, Operations Coordinator assist and coordinate the management of daily business activities and administrative tasks include HR, Finance, Administration and Liaison activities.

Duties and Responsibilities:

The Operation Coordinator duties and responsibilities include but not limited to the following:

Coordinate Office Operational activities including:
  • Responsible in assisting daily office operational activities include manage office supplies and office equipment maintenance, maintain office lease and maintenance, ensuring that all office equipment, internet and electricity are working properly
  • Performing administrative tasks, such as general correspondence and memo, dealing with vendor and develop contract/ agreement when required, making travel arrangements, answering phones, scheduling meetings, etc
  • Assisting in maintaining relationship with stakeholder
  • Preparing budget and financial report for board and related donor when required
  • Assist the Executive Director in Budget Control in coordination with Accounting Officer
  • Coordinate procurement process and manage/ update inventory list
  • Maintaining filling of document related with office administration, lease agreement, project contract/ agreement etc
  • Assist in organizing conference, staff meeting, event, and employee engagement activities
Coordinate daily HR administration activities including
  • Develop staff contract, extention and amendment
  • Arrange Performance Evaluation
  • Collect timesheet and review including staff leave record
  • Assist the Executive Director in staff recruitment
  • Assist with onboarding new employee
  • Participate in developing SOP, Office Policies and Organization Strategic Plan
  • Comply with Office Policy and Regulation
  • Maintain integrity and loyalty
  • Maintain the confidentiality of organizations and projects, including but not limited to information and data related to project documents, finances, agreement and other matters related to donor information and agreement.
  • All tasks assigned by Executive Director related with office and project activities
  • S1 in administration, management, psychology or related field
  • Minimum of 7 years’ experience in administration, finance, HR and general office management
  • Knowledge in office management, office operational, finance and budgeting and HR administrations
  • Strong inter-personal, communication and organization skills
  • Ability to multi-task, prioritize and time management
  • Self-starter with strong problem-solving skills
  • Ability to work effectively in a team and strong attention to detail
  • Proficiency in English both verbal and written
  • Proficiency in Microsoft Office
