The Swisscontact Sustainable Cocoa Production Program (SCPP) in Indonesia, is currently accepting applications for the position of: Program Assistant
The
Program Assistant provides operational and administrative
assistance to the Senior Program and Program Staff, performs a variety
of administrative, coordination and logistical services in support of
the operations of the Program, and assists with information
of management team.
Tasks
Operational and Administrative Support
- Maintains confidential records for the Senior Program Manager;
- Assists other team members in preparing and formatting documents, including PowerPoint presentations;
- Coordinates the translation, proofreading and editing of documents as required;
- Organizes regular team meetings and conference calls/video-conferences, often over different time zones, including the preparation and distribution of documents and providing the necessary technical devices;
- Takes minutes of regular team meetings and other meetings;
- Set up appointments/meetings with partner government agencies and private partners;
- Provides assistance to Senior Program Manager and team members for inputting and editing of ToR and reports;
- Collect and provide necessary information and contribute to the planning, organizing and developing of all aspects of the projects
- Ensures timely implementation of activities, in accordance with project schedules issued by the Regional Program Manager;
- Works with other Assistants to coordinate work activities, meet deadlines, and provide support where needed; and
- Performs other related duties in accordance with instructions from team members.
Travel Management
- Maintains and regularly updates travel plans and budget amounts to provide an accurate overview of the Program’s travel budget, which includes liaising with Regional Office staff for their input;
- Responsible for formatting, distribution and filing of trip reports;
Employee Requirements
- Bachelor (S1) degree in relevant field of work or related studies.
- Minimum 3 years of relevant experience.
- Good management and administrative skills.
- Experienced in maintaining network with government, NGOs and media.
- Have the capacity to work both independently as well as in a team setting.
- Willing to undertake field travel and work under demanding conditions.
- Ability to establish priorities and undertake assigned tasks with minimum supervision.
- Ability to effectively address multiple tasks.
- Excellent in spoken and written English, and in the use of MS Office Software.
Supervision and Reporting
- Direct report to Senior Program Manager
- Provides updated reports to the team as instructed
